How to keep privacy-compliant visitor records
Paper logbooks and ID photocopies carry serious privacy risks. We look at a data-minimizing approach.
The risk of paper logbooks
An open logbook at the entrance shows every visitor's name, company and phone to the next visitor. Photocopying IDs is often disproportionate to the purpose.
Minimize data
Verifying a visitor's identity doesn't require you to store their ID details. Verification can happen on the visitor's own device with only the result shared with you.
Checklist
- Show the privacy notice at entry and record consent.
- Define retention periods and delete automatically.
- Restrict access to emergency lists to authorized staff.
